Office / HR Manager – Busy Project Engineering Office

We have a great opportunity to join a global organisation that has a regional project office based in the South Staffordshire area. This project office is responsible for overseeing a range of installation projects across Europe and sometimes further afield. 

The Project Office is now seeking to re fill the Office Manager position due to retirement in 2020, as it has now become a critical role to support the team, with more projects starting and more countries beginning to open up post lockdown.

Reporting directly to the Managing Director, this is an excellent opportunity for an experienced Office HR or Admin Manager seeking a fresh challenge. Collaborating with a local team of fifteen individuals and supporting projects up to £2 Million.

Office Manager Duties:

  • Responsible for small accounts / admin team
  • Support MD with reporting and periodic forecasting
  • Supervising and monitoring the work of administrative staff
  • Implementing and maintaining procedures/office administrative systems
  • Dealing with external payroll contractor, pensions and expense claims
  • Handling highly confidential and sensitive information
  • Management of HR including management of employee training, holiday requests, sickness & absence etc
  • General office management including arrangement of insurance, utility contracts and fleet management.
  • Organising company events or conferences
  • Dealing with correspondence, complaints and queries
  • Booking transport and accommodation
  • Assisting with promotional and marketing activities

The Office Manager:

  • Experienced with ERP systems. 
  • SAP package exposure desirable
  • Experienced in managing staff with a minimum of 5 years’ experience in an Office / Admin role.
  • Experience with CRM tools, new office start-up or financial accounting would be highly beneficial

Stores Administrator Candidate Requirements

  • Minimum 12 months experience in similar role.

Key Responsibilities

  • Responsible for the accurate input of all order lines received onto the system in a timely manner, ensuring that all Reject Notes are actioned and that that pick transactions for manufacturing orders & sales orders are actioned on the system.
  • Ensure that all sales order ship transactions are actioned on the system & documentation is forwarded to the finance team for invoicing. Act as point of contact for supplier related queries.
  • The Stores Administrator will provide relevant & accurate data on inventory levels, for example, cycle count, stock data.
  • Maintain records of goods received, goods dispatched, cycle count & transactions. Liaise with Material Planners/Buyers for delivery of parts to all 3rd parties including off site storage locations.
  • Manage supplier line side deliveries from VMI vendors. Support & attend morning production meeting.
  • Compile pick shortage data against manufacturing / sales orders & maintain records to ensure reliable information is available. At each month end obtain from offsite storage locations declarations of inventory held & carry out check to ensure compliance.
  • Introduce Lean Manufacturing & Continuous Improvement culture, any administration duties to support the role, provide accurate & timely monthly reports, liaise with Material Planners/Buyers for deliveries by their ‘freight forwarders’.

The purpose of the Senior Finance Controller will involve being responsible for the day to day running of the Finance Department. This role is critical to ensuring the companies control environment is adequate to minimise risk exposure. The post is also key to ensuring both local, group and statutory reporting is done to the requirement and on time.

Duties of a Systems Engineer
